Privacy Policy

Welcome to the Allen Institute websites (each, a “Site” and collectively, the “Sites”). This Privacy Policy applies to information that enables us to identify you, directly or indirectly, from information collected along or in combination with other identifiers we possess (“Personal Information”) gathered online via the Sites. Personal Information includes pseudonymized personal information, but excludes anonymous data or data that has had the identity of an individual permanently removed.

We provide the Content on our Sites as free, open resources as a public courtesy. By using the Sites, you consent to the collection, storage, and disclosure of information as described in this Privacy Policy. If you do not consent to this collection, storage, and disclosure, do not use the Sites. We may change the Privacy Policy at any time without prior notice, and your continued use of any of the Sites following any changes is an agreement by you to the change in the Privacy Policy. Any term that is capitalized but is not defined in this Privacy Policy is defined in the Terms of Use.

Information Collection

There are two types of information that we collect: information automatically recorded by our computer server and information you provide to us.

Information Automatically Recorded

For all visitors to the Sites, our servers log your Internet Protocol (“IP”) address as well as traffic and website use statistics. An IP address is a number that is automatically assigned to your computer every time you browse the Internet.  We also use the data collected according to our agreement with Google to use a web analysis service, called Google Analytics, to provide us with data for how our websites are used.  For more information about how Google uses your data when visiting our Sites please go to Google’s privacy policy located at www.google.com/policies/privacy/partners/. By using our Sites, you consent to this collection of data from your computer or device. You may choose to opt out of the Google Analytics service by downloading and installing the add-on for your web browser located at this website: https://tools.google.com/dlpage/gaoptout.

Cookies
We may place small data files called “cookies” in the browser file of your computer’s hard drive. These cookies automatically identify your browser to our server when you interact with the Sites. We use and store the cookies to carry information about usage from page to page through the Sites. We do not use cookies to retrieve Personal Information about you from your computer.

Subject to your settings, we may allow certain third party advertising service providers to utilize cookies to direct ads for our own programs to you on third-party sites. These advertising service providers may collect non-identifiable information about your visits to our website and your interactions with specific pages. If you prefer not to have this information collected about your website visits for the purpose of delivering targeted advertising, you may adjust your cookie settings by visiting your Privacy Preference Center. You may also be able to opt-out by blocking cookies in the settings menu of a supported browser.

Information You Provide

It is always your choice, or the choice of someone acting for you, whether to provide Personal Information, such as your name, mailing address, email address, or other information about yourself while interacting with the Sites. However, in order to obtain certain materials and services from us and to use certain features of the Sites, you will need to provide us with Personal Information about yourself. Deciding not to provide certain Personal Information may limit or eliminate your ability to fully utilize the Sites.

You may provide your Personal Information in the following circumstances:

Contact Information
You may provide your contact information in a number of ways throughout our Sites, including, when using our Contact Us page; signing up for a Newsletter,; registering for an event, workshop, or forum; registering for data repositories or other user services;  submitting feedback; or otherwise submitting information on our Sites, including any of our web-based forms.

Profile Information
In order to access certain parts of the Sites, we may require that you register with us by creating a password-protected user account. This registration information may be used, for example, for identification purposes, to communicate with you regarding your account with us or to facilitate the functioning of the Sites. As part of this registration process, you will be required to provide certain information about yourself, such as your name, mailing address, or e-mail address.

Third-Party Social Networking
You may engage with some content of the Sites, such as applications, events, or other offerings, on or through third-party social networking sites. When doing so, you may allow us to have access to certain information from your social media profile and your interaction with our content. When you provide this information, you consent to use of this information in accordance with this Privacy Policy.

Careers
You can use our careers sites, including alleninstitute.org/careers/ and http://alleninstitute.clearcompany.com to learn about us, create a job profile, and apply for our open positions by submitting an application. These career sites may be operated or supported by third party service providers that will have access to the Personal Information you submit, but are only permitted to process your data as authorized by us.

Applications and resumes will typically include Personal Information, including name, contact information, information about academic and professional qualifications and experiences, your interests, and the position for which you are applying.

Third-Party Websites

You may find content on the Sites that links to the websites or services or our sponsors, funders, licensors, or other third parties. We do not control the content or links that appear on these websites and are not responsible for the practices employed by websites linked to or from any of the Sites. These websites or services, including their content and links are subject to change. These websites and services may have their own privacy policies and customer service policies. Browsing on and interacting with any other website, including those linked to our Sites, are subject to the website’s own terms and policies.

Information Use

We may use the information we collect according to the terms of this Privacy Policy in effect at the time of collection.  In general, we use the information collected on our Sites to pursue our mission and operations and engage in the activity for which the information is collected, in accordance with this Privacy Policy. Please be assured we do not sell or rent information collected during your visits to the Sites to any third party. However, we may use such information or provide such information to a third party under limited circumstances, as disclosed below.

Information Automatically Recorded

We use general aggregate traffic and website usage statistics derived from automatically collected mechanisms, including cookies, for statistical reporting. For example, we may publicly report usage trends and names of organizations that use the Sites (based on IP addresses), though we will not connect specific activity on the Sites with specific users or user’s organizations. We may share such reports with organizations with which we have a business relationship and in our public communications. We use the aggregate traffic and website usage information to help us understand usage and allow us to make improvements to the Sites. In all cases, our use of the information is not personally identifying. We may be able to identify a user or the user’s organization via the domain name associated with the IP address but we will not reveal how a specific user or user’s organization is using the Sites. We use stored IP addresses to help diagnose problems with our servers and otherwise to administer the Sites and to collect aggregate traffic and website usage information.

Information You Provide

If you choose to provide us with additional information we will never provide your Personal Information to a third party without your knowledge and consent. We may use this submitted information to contact you for more information, to request your consent to use your name in order to improve our services and Sites, to provide testimonials about our work, or to ask if you will allow future communication from us. If you provide questions, information, feedback and/or other comments to us in an email or in other electronic form, we may disclose non-identifying information that you provide in the form of a testimonial, for technical troubleshooting, or other internal and external purposes to improve our services and report on usage of the Sites without your consent. In all such cases, it would be anonymous and would not include any personally identifying information about you unless you have provided consent to use your name.

In certain circumstances, we may receive requests to provide anonymized demographic data to our funding partners regarding attendees to our events and workshops. This information is provided to such partners in an aggregate, anonymized form and will not be cross-linked with any Personal Information you provide.

Children

Some of our educational programs or materials may be designed or created for children of all ages. However, all programs and materials are intended for access by educators or a child’s parent or guardian and we do not knowingly collect or solicit personal data from children under the age of 13. The Children’s Online Privacy Protection Act (“COPPA”) requires that online service providers obtain parental consent before they knowingly collect Personal Information online from children who are under 13 years of age.  If you are a child under 13, please do not attempt to register for our Sites or send any Personal Information about yourself to us. If we learn we have collected Personal Information from a child under 13, we will delete that information as quickly as possible. If you believe that a child under 13 may have provided us Personal Information, please contact us at privacy@alleninstitute.org.

Data Transfer

We are based in the United States; when you engage with our Sites, you are sending Personal Information into the United States which may have different data protection rules than those of your home country.

Data Security

We use reasonable technical and organizational measures to protect all Personal Information received from visitors to the Sites from unauthorized use or disclosure. We also require third parties that assist us with operation of any of our Sites to use reasonable technical and organizational measures to protect Personal Information from unauthorized use or disclosure in connection with such assistance. In particular, with regard to the Human Immune System Explorer (HISE), data exchanged through that system is encrypted In Transit and At Rest to ensure the security and confidentiality of your protected data.

Unfortunately, we cannot guarantee the privacy of any Personal Information that you provide. If we are required to provide notice of unauthorized access to security systems or Personal Information, you agree we may do so by posting notice on our Sites, by email, or by regular mail, in our discretion.

Data Retention and Deletion

We will keep any information collected about you only for as long as we believe it is necessary to carry out the purpose for which we have collected it (as described in this policy) or to meet legal obligations, resolve disputes, maintain security, prevent fraud and abuse, enforce our agreements with you, or fulfill your request to unsubscribe from further messages from us. When your information is no longer needed, we will destroy or de-identify it.

Choices and Rights Over Your Personal Information

You have the following rights with respect to the Personal Information we have about you:

Delete Data

You can ask us to erase or delete all or some of your Personal Information, subject to our legal obligations and lawful exceptions.

Change or correct Personal information

You can ask us to change, update, or fix inaccurate data in certain cases, subject to our legal obligations and lawful exceptions.

Object to, limit, or restrict use of Personal information

You can ask us to stop using all or some of your Personal Information (e.g., if we have no legal right to keep using it) or to limit our use of it (e.g., if your Personal Information is inaccurate or unlawfully held).

Right to access and/or take your Personal information

You can ask us for a copy of your Personal Information in machine readable form

The right not to be discriminated against

Allen Institute will not discriminate against you in any manner for exercising any of the above rights with respect to your Personal Information.

Right to notice

You have a right to receive notice of our Personal Information collection, use, retention, and disclosure practices at or before collection of your Personal Information.

Unsubscribe

If you receive informal emails from us, such as newsletter, you can unsubscribe from our emails by clicking the “unsubscribe” link within each email. You may not opt-out of service related communications that are not promotional in nature.

If you would like to exercise your right to any of the above, email us at privacy@alleninstitute.org. In the email, please provide your name, the country (and state, if you reside in the United States) in which you live, which of the above rights you would like to exercise, and sufficient information that allows us to reasonably verify that you are the person about whom we have collected Personal Information.
